Minutes - May 2012

 Borth Sports & Playing Fields Association

(incorporating Borth Sports & Community Hall Association) 
 
Meeting held on Thursday 24th May 2012, 7.30pm
 
1.  Present: Ray, Joan, Graham, Joy, Mike, Joe, plus Ann Harris & Yvette Ellis-Clark on behalf of the Scouts.  Apologies from Ted, Hilary, Roy, Ieuan & Diane.
 
2.  Minutes of meeting on 19th January read and passed.  
 
3.  Matters arising: 
Scouts – are having difficulties in the Community Centre in Upper Borth, mainly because of lack of parking and danger to the children from traffic, and also the cost of the facilities on offer.  They would like to use the hall on Friday evenings, from 5.30 to 9.15pm in term time.  They would require space for a storage container, which could possible be sited beside the new Football Club shed.  After some discussion it was decided to offer them 39 weeks at £20 per week, a total of £780 for the year.  Ann and Yvette would report back to their committee and let us know their decision in due course.
 
Caretaker – Roy had spoken to Helen, who at first said she would take both the caretaking & cleaning jobs, but had later changed her mind and decided she was unable to take either job.  Roy is willing to carry on until we find someone else.  Mike and Joe have a friend, Steve, who is interested, and they will approach him and explain what is involved, and also see if he is willing to take over the bookings.
 
Bookings & charges – Mike produced a sample 'terms & conditions' which he will re-jig to suit the Association.  Charges will be discussed at the next meeting.
 
Tables – Mike given powers to act to buy 10 new tables and approx. 50 chairs.
 
Hall floor – main hall is to be closed for 2 weeks from 11th June for the floor to be refurbished.  The other rooms will still be available.
 
4.  Correspondence:  none.
 
5.  Jubilee Party – Borth Community Council has bought Jubilee Mugs for all the children of the village up to the age of 11, and Ray suggested organizing a party for the children to receive them, possibly on July 8th, after the work on the floor was completed.  The committee would provide a cake, drinks, balloons etc, and families would be asked to supply food for themselves.
 
6. Any other business:
Stage – Joe suggested that painting the interior of the stage white would give a better background when showing films etc.
 
Bar – Joy noted that events setting up a bar should not use the store cupboard.
 
Notice Board – Mike will get a new notice board for the foyer.
 
Electrical goods – Joe gave a list of items he required to complete electrical repairs, and he was given powers to act up to a cost of £60.
 
Next meeting to be on 28th June to arrange the Jubilee party.
 
There being no other business, the meeting closed at 8.30pm
